By creating an account or using RanchTrace ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. The Service is operated by RanchTrace LLC ("RanchTrace", "we", "us"), a North Dakota limited liability company.
RanchTrace is a livestock and farm management application that provides tools for tracking animals, breeding, feed, pastures, health records, finances, and related farm data. The Service is provided on a subscription basis with both free and paid tiers.
You must provide accurate and complete information when creating an account. You are responsible for maintaining the security of your account credentials and for all activities that occur under your account. You must be at least 18 years old to use the Service.
Paid subscriptions are billed in advance on a monthly or annual basis through our payment processor (Stripe). You authorize us to charge your payment method for recurring subscription fees until you cancel. You may cancel your subscription at any time through the Stripe customer portal accessible from the Billing page in the app; cancellation takes effect at the end of the current billing period. If you believe you have been charged in error, contact us at support@ranchtrace.org within 60 days of the charge to request a review. Approved refunds will be credited to your original payment method. Prices may change with reasonable notice.
By purchasing a paid subscription, you acknowledge and agree that:
You agree not to: (a) use the Service for any unlawful purpose; (b) upload or transmit malware or harmful code; (c) attempt to gain unauthorized access to the Service or its systems; (d) interfere with the proper operation of the Service; (e) share your account credentials with others (team members must be invited through the ranch sharing feature); or (f) scrape, copy, or reverse-engineer the Service.
You retain ownership of all data you enter into the Service, including animal records, health data, breeding records, financial data, photos, and notes. You are responsible for the accuracy, completeness, and legality of all data you submit. You are responsible for ensuring that you have the right to upload any photos or documents you add to the Service. We process your data in accordance with our Privacy Policy. You may export or delete your data at any time; deleted data cannot be recovered.
While we take reasonable measures to protect your data, we are not responsible for data loss caused by system failures, outages, or other events beyond our control. We recommend that you periodically export your data using the export feature in the app. You acknowledge that RanchTrace is not liable for any loss of data stored in the Service.
The Service, including its design, code, branding, and features, is owned by RanchTrace LLC and protected by intellectual property laws. These Terms do not grant you any rights to our trademarks or proprietary technology.
4-H is a trademark of the USDA, and FFA is a trademark of the National FFA Organization. RanchTrace is not affiliated with, endorsed by, or sponsored by the 4-H program, the USDA, or the National FFA Organization. Any references to youth programs in the Service are for descriptive purposes only and do not imply any affiliation or endorsement.
The Service is provided "as is" and "as available" without warranties of any kind. We do not guarantee the Service will be uninterrupted, error-free, or secure. We are not liable for any loss of livestock, financial loss, or agricultural decisions made based on data in the Service. The Service is a management tool, not veterinary or financial advice.
To the maximum extent permitted by law, RanchTrace LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or data, arising from your use of or inability to use the Service. Our total liability shall not exceed the amount you paid in the 12 months preceding the claim.
You agree to indemnify and hold harmless RanchTrace LLC and its members, employees, and agents from any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your infringement of any third-party rights.
RanchTrace shall not be liable for any delay or failure to perform our obligations under these Terms due to causes beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, civil unrest, pandemics, labor disputes, internet or telecommunications outages, power failures, or actions of third-party service providers (including Supabase, Stripe, and Netlify).
We may suspend or terminate your account if you violate these Terms. You may delete your account at any time. Upon termination, your data will be deleted within 30 days unless legally required otherwise.

Any dispute or claim arising out of or relating to these Terms or your use of the Service shall be resolved by binding arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules and conducted in North Dakota. The arbitrator's award may be entered as a judgment in any court of competent jurisdiction. You and RanchTrace agree that each may bring claims against the other only in an individual capacity and not as a plaintiff or class member in any purported class, collective, or representative proceeding. The arbitrator may not consolidate more than one person's claims and may not otherwise preside over any form of a representative or class proceeding. Either party may elect to resolve any dispute in small claims court in North Dakota instead of arbitration, provided the dispute qualifies for small claims court jurisdiction.
We may update these Terms from time to time. Material changes will be notified via email or in-app. Continued use after changes constitutes acceptance.
These Terms are governed by the laws of the State of North Dakota, without regard to its conflict of law principles. Except for disputes resolved in small claims court or arbitration as provided above, any action arising from these Terms shall be brought exclusively in the state or federal courts located in North Dakota.

RanchTrace may operate an affiliate referral program allowing users or partners to earn commissions for referring new paying subscribers. Participation in the affiliate program is governed by the following terms:
RanchTrace may offer complimentary ("comp") accounts to influencers, family members, beta testers, partners, or other designated users at its discretion. Comp accounts are subject to the following conditions:
RanchTrace is a record-keeping and management tool. It is not a substitute for professional veterinary, nutritional, financial, or legal advice. RanchTrace does not guarantee any agricultural outcome, including but not limited to breeding success, animal health, weight gain, market pricing, or profitability. Users make all management decisions at their own risk. RanchTrace LLC is not liable for any loss of livestock, revenue, or property resulting from decisions made based on data or recommendations in the Service.
The Service is intended for users located within the United States. We do not offer the Service to users outside the United States at this time. If you install the Service from the Google Play Store, the Google Play Store Terms of Service also apply to your use of the Service. RanchTrace is responsible for the Service and its content, not Google. Google may modify or terminate the Service's availability on the Play Store at its discretion.
